Terms and Conditions – Adventure Himalaya Nepal
1. Booking Confirmation
- A trip is considered confirmed only after we receive a minimum 25% deposit of the total trip cost.
- The balance payment must be made upon arrival in Nepal or before the trek/tour begins.
- You will receive a written confirmation (email or receipt) after your booking is accepted.
2. Payment Methods
- We accept payments via bank transfer, online transfer, credit card, or cash.
- Any bank or transaction fees are the responsibility of the client.
3. Cancellation Policy
- Cancellation must be made in writing (email) by the client.
- Cancellation charges apply as follows:
- 30 days or more before departure: 15% cancellation fee
- 15–29 days before departure: 30% cancellation fee
- 7–14 days before departure: 50% cancellation fee
- Less than 7 days before departure or no-show: No refund
No refunds will be given for unused services or voluntary trip changes once the trip has started.
4. Trip Cancellation by the Company
- We reserve the right to cancel any trip due to unforeseen circumstances (natural disasters, political unrest, pandemic, etc.).
- In such cases, we will provide an alternative trip or a full refund, minus any non-refundable expenses (permits, flights, etc.).
5. Travel Insurance
- Travel insurance is mandatory for all trekkers.
- Your policy should cover emergency medical evacuation, accidents, illness, trip cancellation, and high altitude trekking.
- Clients without valid insurance may not be allowed to join certain treks.
6. Health & Fitness Requirements
- Trekkers and travelers must ensure they are physically and mentally fit for the chosen trip.
- Any pre-existing medical conditions must be disclosed during booking.
- We reserve the right to deny participation if a guest’s health may compromise the safety of the group.
7. Passports and Visas
- All clients must carry a valid passport (minimum 6 months validity) and a valid Nepal visa.
- It is your responsibility to obtain and carry proper travel documents.
8. Itinerary Changes
- Adventure Himalaya Nepal reserves the right to modify itineraries due to local conditions, weather, safety concerns, or governmental rules.
- Flexibility is key when trekking in the Himalayas, and alternative routes or schedules may be used without prior notice.
9. Assumption of Risk
Clients understand that travel and trekking in Nepal involve inherent risks, including but not limited to altitude sickness, weather issues, natural disasters, accidents, and illness. By booking with us, you accept these risks and agree not to hold Adventure Himalaya Nepal or its staff liable for any injuries, loss, or damage.
10. Our Responsibility
- We take responsibility for providing services listed in your confirmed itinerary.
- We are not responsible for third-party issues (e.g., airline delays, hotel errors, or transport strikes) beyond our control.
- We strive to provide a safe, ethical, and memorable travel experience for every client.
11. Code of Conduct
- We expect clients to respect local customs, cultures, and environmental guidelines.
- Illegal activities, disrespectful behavior, or actions that endanger the group may result in removal from the trip with no refund.
